Three Review Agendas Keep the Meeting on Decisions

A review template keeps a monthly meeting on the numbers that matter and off the ones that are easy to report. Each template below is a meeting agenda, not a report format: the numbers come in advance, and the meeting is for decisions.

Single-practice monthly review (45 minutes)

  1. Capture Ladder for each program, this month against last month (10 minutes).
  2. Admin minutes per patient-month and the top three admin tasks (5 minutes).
  3. Escalations: count, oldest open, any that waited too long (5 minutes).
  4. Collection rate, denials by reason, days to bill (5 minutes).
  5. The program’s clinical measure and patient-reported value (5 minutes).
  6. Honest Standard exceptions from the random ten (5 minutes).
  7. One decision: what changes next month, who owns it, how we’ll know (10 minutes).

Multi-site review (60 minutes)

  1. Each site’s Capture Ladder for the same program, side by side, using the same definitions (15 minutes).
  2. The widest gap between sites on any rung, and what the best site does differently (15 minutes).
  3. Whether that difference has been tested at a second site yet (10 minutes).
  4. Shared costs: central staff, software, devices, per enrolled patient-month (10 minutes).
  5. One practice to test at one more site, with a date to review it (10 minutes).

Program stop, hold, or scale review (quarterly, 30 minutes per program)

  1. Did the program meet the success criteria set at launch? Bring the criteria, not a new set.
  2. Did it hit any kill criterion?
  3. Contribution margin at the real collection rate, not the modeled one.
  4. The clinical measure, compared with the patients’ own baseline.
  5. Decision: stop (write down why, so the next attempt starts smarter), hold (fix one named rung before adding patients), or scale (name the next cohort and the capacity it needs).
